How to Cancel Procare and Export Your Data (2026)

Leaving Procare comes down to two jobs: getting every record out in a file you can use, and ending your agreement cleanly. This guide uses Procare’s own help center where it has steps, and says so plainly where it doesn’t.

The short version

  • Export your data before you cancel. Procare Desktop can export reports to Excel or CSV.
  • Procare’s public help center does not list self-serve cancel steps (checked 30 Oct 2026). Cancelling follows your agreement, so check its term and notice period.
  • Send your cancellation in writing and ask for written confirmation.
  • Moving to MyKidReports? We move your data for free, and most centers are live in 5–10 business days.

Step 1: Decide what to export from Procare

  • Families and children: names, birthdays, rooms, guardians and authorized pickups.
  • Billing: family balances, ledgers, payment history and recurring charges.
  • Attendance and sign-in records your state license requires you to keep.
  • Staff: hours, documents and certifications.
  • Immunization and health records, and any documents you store.

Step 2: How to export data from Procare

Procare’s help center article “How do I export a report?” (Procare Desktop, updated 21 Dec 2023) gives two ways:

  1. Standard reports: open the report, click the Export Report icon (second from the left at the top of the screen), and in the save window choose the file type. Procare suggests “Microsoft Excel… Data Only”.
  2. Data Viewer: click Export (third from the left at the bottom of the screen), click the arrow next to it, and choose “Export as CSV”, which opens easily in Excel.

If you use Procare Online, ask Procare Support which exports are available for your account before your end date.

Step 3: How to cancel Procare

  1. Find your agreement and check the term, renewal date and notice period.
  2. Finish your exports (steps 1 and 2) and open each file to check it.
  3. Send your cancellation to your Procare account representative in writing, with your center name and the date you want service to end.
  4. Ask for written confirmation, and ask what happens to your data and payment processing after the end date.

Procare bought Playground on 14 September 2026 and said “nothing changes today” for customers. Its FAQ does not mention prices or contracts, so ask about any changes before you renew. Procare alternatives compared →

Step 4: Move to your new system

Pick a quiet week. Train your director first, then each teacher. Run both systems side by side for a few days, then start billing on the new system at the start of a month.

We move your data for free. MyKidReports moves your rosters, billing history, attendance and parent contacts at no charge. You pay $0.99 per child per month, with a flat rate of 49 cents per bank transaction, never a percentage.
