Marketing Automation Software for Childcare

CRM · Automation · Tours

The enquiry arrives. The follow-up sends itself.

A form on your own website drops the family into a pipeline, books the tour against your real availability, and sends the reminder and the nurture email without anyone remembering to. No Zapier, no second CRM.

What gets automated

The work between the enquiry and the first day

Most of it is the same every time: reply, book, remind, send the packet, chase the documents. That is the part a center does by hand and the part that gets dropped when the week is busy.

Your website fills the pipeline

Inquiry forms and application forms live on the site MyKidReports builds for you. A submission is not an email to read later — it is a card in the pipeline with the child's age, the contact and the days in stage already on it.

Tours book against real availability

You set weekly availability, date-specific hours and tour duration once. A submitted application can auto-schedule the tour against it, so the family picks a slot instead of waiting for you to offer one.

Trigger, delay, channel

An automation is a trigger and an action with an editable message, a delay and a channel — a tour reminder email 24 hours before, for example. They come grouped as Onboarding, Tours and Nurture.

A pipeline you can drag

Inquiry, Applications, Tour Scheduled, Toured, Packet Sent, Needs Approval, Waitlisted, and Dropped Leads. Move a card and the stage changes; the dashboard counts follow.

Five channels, one inbox

Chat, email, app notifications, newsletters and SMS all send from the same place, with delivery confirmation and message templates. Newsletters report opens and engagement.

Application forms you design

Prebuilt child and parent fields, plus any field you add. Required toggles, consent checkboxes for SMS and terms that block submit until ticked, your logo, your confirmation text.

Where the families come from

The admissions dashboard reports age distribution, admission sources, tasks and a timeline, with a next-step hint per applicant. You can see which source is actually producing tours.

Waitlist as a stage, not a spreadsheet

A waitlisted family stays in the pipeline with their age band and start month attached, so the January infant room is filled from a list that is already current.

Social posting in the same platform

The Marketing module connects Instagram and Facebook and schedules photo, carousel, story, reel and text posts, with drafts and published tracking — the top of the funnel and the pipeline in one login.

Setting it up

Three things to switch on, then leave it

This is not a build. Each of these is a screen you fill in once.

1

Put the form on your site

An inquiry form for light lead capture, an application form for the full submission. Both live on the website the platform builds, so there is nothing to embed and nothing to sync.

2

Set your tour availability

Weekly hours, any date-specific exceptions, how long a tour runs, and the reminder. Submissions book against it from then on.

3

Turn on the automations you want

Start with the tour reminder and the onboarding sequence. Each one has an editable message, a delay and a channel, so you can change the wording without changing the flow.

Automated vs by hand

What changes when the follow-up is not a reminder to yourself

Centers rarely lose a family because the tour went badly. They lose them in the four days before it, when nobody replied.

Scheduling the social posts that create these enquiries is a separate module — see childcare marketing software. What happens after enrollment is in parent communication.

Why centers switch

A CRM that already knows what a childcare enquiry is

General marketing automation tools have to be taught what a room, an age band and a start month are. This one starts there.

Built around rooms and age bands

A card carries the child's age because capacity is per room and per age band. That is what decides whether the family is an enrollment or a waitlist entry.

Consent handled at the form

SMS consent and terms are consent checkboxes on the application form, required ones blocking submit — not a compliance job you do afterwards.

One system after they enroll

The family does not get re-keyed into a different tool on day one. The application becomes the child record that billing, attendance and communication all run on.

Questions we get

About childcare marketing automation

What is marketing automation software for childcare?

Software that handles the repeating steps between a family's first enquiry and their first day — capturing the enquiry from your website, moving it through a pipeline, booking the tour, and sending the reminder, packet and follow-up messages on a trigger rather than by hand.

Is this a CRM as well?

Yes. Admissions is a built-in CRM with a drag-and-drop pipeline: Inquiry, Applications, Tour Scheduled, Toured, Packet Sent, Needs Approval, Waitlisted and Dropped Leads, with days-in-stage on each card and a dashboard of counts, age distribution and admission sources.

Do tours really book themselves?

You set weekly availability, any date-specific hours, the tour duration and the reminder. With auto tour scheduling switched on for a form, a submitted application books against that availability without you replying first.

What can an automation actually send?

Each automation is a trigger and an action with an editable message, a delay and a channel — for example a tour reminder email 24 hours before. They are grouped as Onboarding, Tours and Nurture.

Do I need Zapier or a separate marketing tool?

No. The forms sit on the website MyKidReports builds, the submissions land in the pipeline, and the messages send from the same platform. There is nothing to connect between systems.

Can I send SMS as well as email?

Yes. Chat, email, app notifications, newsletters and SMS are five channels in one inbox, with delivery confirmation and templates. SMS is metered and has its own usage history.

Does it show me which marketing is working?

The admissions dashboard reports admission sources alongside applications, tours, needs-approval and waitlist counts, so you can see which source produced the tours rather than only the enquiries.

Is there a free version?

Yes. MyKidReports is free forever for up to five children, and the admissions pipeline, forms and automations are part of it rather than a paid add-on.
