Step 1 · Your account

Create your account

Sign up yourself. There is no sales call and no demo to sit through first.

  • Enter your school name, phone, email, school address and a password.
  • We send a verification email to confirm your address.
  • Every module is switched on from your first login, including billing, attendance, admissions and parent messaging.

Step 2 · My School

Set up your rooms and ratios

Rooms are the backbone of your center. Children, staff, check-in and ratios all hang off them.

  • Go to My School → Rooms and create a room for each class or age group.
  • Set the student-to-staff ratio and the room capacity for each room.
  • Assign staff to each room, so ratios are tracked room by room.

Step 3 · Children

Add your children

Start small or bring everyone in at once. Both routes end in the same full child profile.

  • One at a time: first name, last name and room, then save.
  • Whole roster: download the template, fill it in and upload it. Children and families appear within 1 to 2 business days, and you get an email when it is done.
  • Each profile holds wellness details like allergies and pediatrician, family members, room and billing plan.

Step 4 · People

Invite families and staff

Everyone gets their own login and sees only what they should.

  • Add family members from the child's profile, tick invite, and we email their login details.
  • Add staff under Staff members and send their login details the same way.
  • As the admin, you set the permissions. Parents see only their own child.
  • Families and staff use the iOS and Android app or any browser, with the same login.

Step 5 · Billing

Turn on billing

Set it up once and invoices go out on schedule, every cycle.

  • Create billing plans that bill weekly, bi-weekly or monthly, and assign children to them.
  • Invoices are generated automatically on the date you choose.
  • Connect your bank account through Stripe so families pay online by card or bank transfer.
  • Invite families to autopay, add discounts and late fees, and still record cash or check payments.

Questions

What directors ask before they start.

Do I need a demo before I can start?
No. You can create your account yourself and start setting up straight away. If you would rather see it first, you can book a demo with our team.
Can you import my existing roster?
Yes. Download the roster template, fill in your children and families, and upload it. The minimum fields are the child's first name, last name and room name. Uploaded rosters appear within 1 to 2 business days and you get an email when the upload is complete.
How do families pay?
You connect your bank account through Stripe, and families pay invoices online by card or bank transfer. You can invite families to autopay so recurring invoices are paid automatically, and you can still record cash or check payments by hand.
How do parents check children in and out?
Open Check-In Kiosk mode on a tablet at your entrance. Parents and staff check in or out with a QR code or their 6-digit code.
Can I run my center from my phone?
Yes. MyKidReports works in any browser and as an app on iPhone, iPad and Android, with the same login and the same data everywhere.
What does each person see?
Directors and owners see billing, enrollment, staff, reports and growth. Staff see check-ins, daily reports, schedules and photos. Parents see only their own child, plus billing, photos and messages. You set the permissions as the admin.
How much does MyKidReports cost?
MKR Lite is $0 for up to 5 children. MKR Pro is $0.99 per child per month for up to 100 children with unlimited staff, and includes a 14-day trial with no credit card. Enterprise pricing is custom for 100+ children and multi-center groups. See pricing.
